Privacy notice
MountCrest University College admissions portal. Last updated 10 October 2026.
Who we are
MountCrest University College ("the University", "we") is responsible for the personal data you give this portal. We process it in line with Ghana's Data Protection Act, 2012 (Act 843). For any question or request about your data, write to admissions@mountcrestuniversity.edu.gh.
What we collect
- Account: name, email address, phone number, password (stored only as a one-way hash), language.
- Application: personal details (title, names, sex, date and place of birth, nationality, national ID number, home town, languages, marital status, number of children, occupation and employer), contact addresses, next of kin and guardian details, schools attended, examination results and qualifications, career plans, answers to programme questions, and the documents you upload (for example certificates, transcripts, ID and photographs).
- Optional sensitive details: religion and any disability you choose to tell us about. You do not have to give these. They are seen only by admissions staff handling your application, are left out of interview papers, and are not used to decide your application. A disability is used to arrange support you may need.
- Referees: the names and contact details of the referees you invite, and what they write.
- Assessment: reviewer notes, interview arrangements and outcomes, and the admission decision.
- Payments: amount, reference and status of application and fee payments. Card and mobile-money details are entered with Paystack, not with us; we never see full card numbers.
- Security records: sign-in times, IP addresses and a log of important actions, used to protect your account and investigate misuse. The portal uses only the cookies it needs to keep you signed in and secure; there are no advertising or tracking cookies.
Why we use it
To create your account, assess and decide your application, contact you about it (by email and SMS), take payments, issue admission letters and, if you enrol, create your student record. We also use it to meet our legal and regulatory duties and to produce anonymous admissions statistics. We do not sell your data or use it for advertising.
Who we share it with
- University staff who need it for admissions, finance or registry work, each limited to their role.
- Your referees receive your name and the programme you applied for, so they can write a reference.
- Service providers who act on our instructions: our web host; Amazon Web Services (email delivery, processed in the European Union); BulkSMS Ghana (text messages); Paystack (payments); Cloudflare (the human check on the registration page). Where an upload safety check is switched on, only a fingerprint of each file is checked with VirusTotal; the file itself is never sent.
- Regulators, examination bodies and authorities when the law requires it, for example to verify results.
How long we keep it
If you enrol, your application becomes part of your student record. Otherwise we keep application records only as long as needed for admissions, audit and legal purposes. Accounts that stay inactive are archived.
Your rights
You may ask to see the personal data we hold about you, have it corrected, object to how it is used, or ask for it to be deleted where we no longer need it. Write to admissions@mountcrestuniversity.edu.gh; we will answer within 21 days. You can also update most details yourself while your application is in draft, and change which messages you receive under Settings once signed in. If you are not satisfied with our answer, you may complain to the Data Protection Commission of Ghana.
Applicants under 18
If you are under 18, a parent or guardian should read this notice with you before you apply.
Security
The portal is served over an encrypted connection, staff accounts use two-step verification, and access to applications is limited and logged. If a breach ever puts your data at risk, we will tell you and the Data Protection Commission.
